Name/date changes, cancellations and new reservations may be handled directly with the official conference hotels beginning on November 24, 2009.
Offering of the ASCB negotiated discount rate for new reservations will be at the discretion of the hotel. Cancellations within 72 hours of or failure to check in on your scheduled arrival date will result in one night’s room and tax charge on the credit card provided as a guarantee. In addition, the hotel may charge an early check out fee.

Hotel Cancellation Policy

Deadline for changes and cancellations is November 19, 2009, at 5:00pm CT. Between November 20 & November 23 reservations are being transferred to the hotels so changes & cancellations are not accepted. Please contact your assigned hotel beginning on November 24. Cancellation of your reservation within 72 hours of, or failure to check in on your scheduled arrival date, will result in one night's room and tax charge to the credit card provided as guarantee and loss of reservation. Hotels may also assess an early check-out fee. For hotel confirmation number, please contact hotel directly within seven days of your arrival.

Exhibitor Housing Policy
Initial Rooming List and Credit Card Guarantee: Exhibitors booking five or more rooms must submit an Initial Rooming List along with a valid credit card information and expiration date through December 2009 or later by September 3, 2009. Do not submit duplicate names on the Initial Rooming List. Major credit cards (MasterCard, Visa, American Express, Diners Club, and Discover) are accepted. San Diego Accommodating YOU does not accept wire transfers, money orders, or supply invoices.

Rooming Lists: Final Rooming Lists are due on October 1, 2009. All rooms must have an individual's name assigned. 'To be determined (TBD)' rooms will not be allowed. Any unassigned rooms will be released from the ASCB Housing Block on October 2, 2009. Once rooms are released, additional rooms are subject to availability. The deadline for changes and cancellations through San Diego Accommodating YOU is Tuesday, November 19.

Cancellation: You may make changes to or cancel your hotel reservation (if reserving fewer than five rooms) by calling the San Diego Accommodating YOU directly at (800) 967-4590 U.S./Canada. International participants may call (847) 996-5875.

  • From November 20 & November 23 reservations will be transferred to the hotels. Beginning November 24, individuals must contact hotels directly to change/cancel reservations.
  • Cancellations within 72 hours of the individual's intended arrival will result in one night's room and tax charge (per room booked) to the credit card provided and loss of reservation.
  • Exhibitors booking five or more rooms will need to make changes and cancellations in writing by fax (847) 996-5401 or email to ascbexh@experient-inc.com until 5:00 pm CT on October 1, 2009.
Please Don't Be a 'No-Show'
If you cancel your plans to attend the 2009 ASCB Annual Meeting, remember to cancel your meeting registration and hotel reservation as quickly as possible. The ASCB strives to obtain the largest number of hotel rooms near the San Diego Convention Center at the lowest possible rate for attendees. Hotels are reluctant to commit large room blocks and offer lower rates if the Society has a high no-show rate (number of attendees with reservations who do not show up and do not cancel reservations). If a reservation is canceled properly, it allows another ASCB attendee the chance to book the room.
